We are looking for a Billing Coordinator to join our growing Finance team in London. you will manage the end-to-end billing process for a dedicated group of Program clients who enjoy all the benefits of a personal jet, without having to bear the responsibility that comes with actually owning an aircraft, at a fixed per hour price.

 

This is an exciting time to join VistaJet. We recently flew our 100,000th flight, took delivery of our 71st aircraft and achieved a 137% year-on-year increase in flight bookings in the USA.

Your Responsibilities

 Your key responsibilities will include:

 

  • Reviewing flight activity details before producing accurate customer invoices, ensuring alignment with the customer contract and any special terms, and calculating and adding any additional charges or notes to the invoices;
  • Generating and sending customer statements and sending initial chaser notifications;
  • Maintaining and monitoring customer cash and hours flown balances, reporting on flying client flying activity and identifying differences between estimated and actual billing.

 

You will also work alongside other VistaJet teams:

 

  • Program Sales to review and approve any unusual invoices before sending out to customers, and to resolve customer queries;
  • Flight Operations to ensure accuracy of coding;
  • Customer Services when a customer nears the minimum balance required to continue flying;

 

Required Skills, Qualifications, and Experience

 

  • You’ll use your impeccable eye for detail and prior experience of interpreting complex client contracts to ensure that all invoices have been calculated accurately;
  • Prior experience of reconciliation, in order to reconcile information from our in-house client system with our accounting system, SAP.   Familiarity with SAP will be useful but is not essential;
  • Intermediate/Advanced Excel skills are essential, including capability with pivot tables, v-lookups and formulas;
  • You will be able to work at a fast pace, sometimes under pressure, in order to manage a challenging workload for demanding clients;
  • Strong written and spoken English is essential when interacting with our discerning clients.  Additional language skills may be useful but are not essential.
