    We are currently looking for a Front Office Administrator to be the main point of contact for any visitors to our Malta Headquarters.

    Your Responsibilities

     

    The Front Office Administrator/Receptionist will be responsible for maintaining a 5-star Front of  House standard at all times by:

     

    • Acting as an ambassador for VistaJet and the main point of contact for any visitor to VistaJet.
    • Providing VIP treatment to exceed the expectations of all visitors and telephone or email enquiries.
    • Develop and maintain excellent relations with all visitors and employees.
    • Responding in a knowledgeable, professional and timely manner to all telephone and email enquiries.
    • Updating and Maintaining meeting room calendars and schedule meetings accordingly
    • Booking taxis and assisting with other visitor requests as required.
    • Arranging couriers and being responsible for the distribution of mail to departments.
    • Ensuring that the reception environment is well maintained, presentable and safe at all times.
    • Demonstrating a flexible approach in terms of operational requirements and supporting the Office Manager with additional tasks as required.
    • Provide ad-hoc administrative support to other departments as required.

    Required Skills, Qualifications, and Experience

     

    • At least 1 year experience in a high-end front-of-house or customer service role where you have demonstrated your ability to provide exceptionally high service to all visitors and colleagues alike.
    • Immaculate presentation and a professional manner at all times.
    • Clear communication skills, both written and verbally, with an excellent telephone manner.
    • Willingness to go the extra mile and carry out a variety of tasks as necessitated by a growing business.
    • A bright and bubbly personality who is able to work on their own initiative.
    • A calm attitude when working under pressure to deal with difficult situations or juggle tasks.
    • Excellent organisational skills, a keen eye for detail and the ability to manage their time effectively.
    • Computer literate with a working knowledge of MS Office.
